The Personal assistant is a very important role managing a confidential support service to the Operations Manager.
Tasks will include:
• organising and maintaining diaries and making appointments;
• arranging travel, visas and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations;
• screening phone calls, enquiries and requests, and handling them when appropriate;
• organising visit programmes including meeting and greeting visitors at all levels of seniority;
• devising and maintaining office systems, including data management and filing;
• dealing with incoming email, faxes and post, often corresponding on behalf of the manager;
• producing documents, briefing papers, reports and presentations;
• organising and attending meetings and ensuring the manager is well prepared for meetings;
• There is also the opportunity to have an incident response support role as part of the job.
The Thames Tidal Defences or TTD, comprise the Thames Barrier, five associated major flood gate structures at Barking and Dartford Creek and the tidal entrances to London's Royal Docks and 125km of tidal walls and embankments both sides of the river from Erith in the East and Teddington in the West. The Operations Manager leads the TTD team which are responsible for the operation , maintenance and management of this system of defences .
We are seeking someone with:
• previous experience in a secretarial or personal assistant position is preferred but not essential
• good verbal and written communication skills
• ability to work unsupervised as well as part of a team
• ability to carry out a combination of assigned tasks, mainly unsupervised, but guided
• ability to prioritise workload and adapt to changeable deadlines
• competent with the Microsoft Office suite ie Word, Excel and powerpoint
This is a permanent, full-time role working 37 hours a week.

The grade rate for the role is £22,211 plus £3,544 London weighting.

The post is based at the Thames Barrier Operational area office in Charlton, London, SE7 8LX. Some travel to other area offices may be required.

The successful applicant will have to undergo Security Clearance Checks (SC) and candidates must have been a resident in the UK for at least 3 years.
