The Role:

We are seeking a confident and efficient Personal Assistant to provide a first class service to the Area Director London helping us to deliver our role creating a better and more resilient place in the largest city in Western Europe. This post is twelve months maternity cover. You will provide a comprehensive administrative and secretarial service, including diary, email and action management, providing secretariat support for key meetings including minute taking. The Personal Assistant will also act as the main contact point for internal and external customers when the Area Director is out of the office. There will also be requirements to work alongside the Area Leadership team, in order to support efficient delivery in the London Area.

London Area liaises regularly with key pan London Executives from a wide range of national and international organisations as well as our own Chair and Chief Executive’s offices. You will be key in helping to manage our reputation and efficient delivery with these key customers.
You will work directly for the Area Director in a high profile Area; work closely with the Area Leadership team and team leaders. You will also build strong networks with other Areas, national teams.
We are looking for applicants who are:
- Highly organised and self-starters as you will be working mainly unsupervised
- Able to prioritise workload and adapt to changeable deadlines
- Excellent communication skills in written and verbal form
- Confident in engaging with customers over the phone and in person
- Able to adhere to strict confidentiality and security protocols due to sensitive information you will be handling
- Ability to work with Microsoft Office
- Experience as a Personal/Executive Assistant at director level would be highly desirable
The base location for the role will be flexible, however occasional travel to London is likely to be required.
The role is on a fixed term basis to January 2021.

The successful candidate will be representing the Area Director. They have to be able to understand the needs of both the Area Director, other internal customers as well as external customers they are working with in order to achieve the best results seeking a win-win situation on both ends.
Manages Self
You will need to be able to work mainly unsupervised supporting the Area Director, prioritising tasks, supporting the other Secretary in the Area and a Business Administration Apprentice. You will need to be able to demonstrate initiative and leadership skills in moving work on, be organised, a self-starter and strike the right balance between being confident to move actions on and checking in on what is needed.
Works in Teams
The role requires work across many teams: The Area Leadership team, Area Management team, a team of a Secretary and an Apprentice, and the wider Area colleagues. You would need to be a good team player with the ability to develop good rapport to enhance a cohesive working relationship with others.
