Our team is looking for Personal Assistant to support our Area Director (AD) to achieve their business objectives. The West Midlands AD oversees environmental and flood risk outcomes across 7 counties, delivering a £70m annual capital/revenue programme through 600 people.
Responsibilities:
• Full diary management, being aware of AD movements at all times, being proactive to minimise problems;
• Managing email inbox, filtering requests;
• Arranging meetings/lunches/dinners, room bookings, videoconferencing;
• Being proactive reminding the AD of meeting attendance, ensuring detailed travel itineraries, attendee lists, reports, and presentations are available, and pre-meets are organised;
• Taking minutes at meetings chaired by the AD and recording actions;
• Handling phone calls and dealing with enquiries on behalf of the AD.

This role is fast paced and will require you to be available during office hours (09:00 - 17:00).
Business Support plays a huge part in enabling the Environment Agency to achieve our goals. You’ll join 30 colleagues in the West Midlands Business Support Department who deliver a range of activities including:
• Business planning/finance management
• Sustainable business initiatives
• Recruitment and onboarding
• Learning and development
• Health Safety and Wellbeing
• Executive and MP correspondence
• Customer enquiries
• Administrative support
• Engagement and communications
• Assurance, risk and governance
As an experienced Personal Assistant or Secretary you will have:
• Level 2 or 3 Secretary/PA qualification (Institute of Administrators and Executive Assistants) or equivalent professional qualification.
• Experience in supporting Managers with a proven track record of handling complex and sensitive emails. Attention to detail is vital.
• Ability to develop and maintain good relationships with colleagues at all levels of the organisation.
• Ability to work on your own initiative and as part of a team to make decisions and achieve planned outcomes to agreed deadlines.
• Excellent IT skills and an ability to use MS Office. You must be adept in using MS Outlook.
• Excellent organisational skills with the ability manage complex logistics.
• Excellent communication skills are vital as you’ll be working with a diverse range of people.
